An Account Cancellation Letter is a formal request sent to a bank asking that they close your current account and revoke your membership. It is a formal business letter that can serve as a paper trail should anything go wrong during your account cancellation.
When closing a bank account, you don’t have to sit in worry, hoping that the bank does everything correctly. You can ensure they have all the information they need to close your account by sending a well-written, detailed account cancellation letter.
If you wish to close an account, read the tips, templates, and samples below to find out the best way to do it.
Emptying Your Account Vs. Fund Transfer
If your account has money in it when you apply to close it, you may choose to empty it yourself or request the bank to transfer your funds. These are two different letters, both of which should indicate your choice. Did you empty your account or would you like the bank to do it? When and to where would you like your funds transferred?
When requesting a fund transfer, be sure to include the following details:
- The account number and name of holder of the account you are closing
- The amount you would like transferred
- A transfer-by date
- The account number and name of holder of the account in to which you would like the funds transferred
- An authorizing signature
- Your contact information
Tips for a Writing an Account Cancellation Letter
In many banks, an Account Cancellation Letter is all you will need to close your current account, which means you need to be as detailed as possible. In the first paragraph, provide the reader with all the data they need to locate your account. Give them all the information they need to close your account successfully, in the subsequent paragraphs to avoid any back and forth. Closing an account should be easy to do with the following tips and considerations:
- Be Direct. A cancellation letter is not the place to be vague, else you will never get the job done. Let the reader know from the word go that you would like your account closed, when you would want it done, and any special instructions to go with the closure.
- Be Polite. Most banks operate very efficiently and a simple request will get the job done most of the time. If you are working on a deadline, let the reader know in a polite way. Generally, give them all the information they need to do their job then let them do it.
- Attach Necessary Documents. If you were required to fill out any documents, mention them in the body of your letter and send them to your reader. You can also attach other documents like your identification card, as directed by the bank.
- Provide a Signature. Always go with a handwritten signature, unless the bank indicates otherwise.
- Verify. Always ask the reader to verify the account closure by a set date.

Account Cancellation Letter (Word Template)
Banks will usually have different procedures for closing a bank account, with many requiring that you send in an Account Cancellation Letter. If this is true for you, a hand-signed document can help prevent any errors or complications during the closure process. Make sure to include all the necessary details, use a formal tone, and maintain a copy of the letter for your records.
