Who Needs a Proof of Employment Letter
The list of those who actually need to verify your employment status is not long. However, there are many individuals, businesses, or institutions under those categories that will require this document. They are:
- Potential landlords or property managers
- Banks or other lending institutions

How to Write

The form will be a basic fill-in-the-blank type format, and all the blanks should be in the right order. The reason you use company stationery is that the letterhead is verification it came from your company. Underneath the letterhead comes the following:

- company’s name, address, and zip
- Company’s contact information
- Date the form was filled out
A blank line should be added for the person to use to place that information. Then under the date, you should have the individual or other third party’s name, address, and contact information.
Underneath that should be the reason why your employment and salary need to be verified. Then spaces for the following information to be added should be included in the body of the letter. These are:
- Employment name
- Employment start date
- Job title
- Salary
- Employment end date if a former employee
Also, have a spot for the verifier to sign their name and give their job title
How to Verify a Proof of Employment Letter
The process to verify the employment verification letter may be a bit tedious but it must be done. Here are the steps you need to take in order to accept the letter as genuine and verified:
- Look up the company on the Secretary of State’s database of legitimate businesses
- Call the verifier to make sure they wrote the letter, etc.
- Ask the employee for supporting documents. These can and will be W-2 forms, personal tax returns for two years, and bank statements for 1 to 2 years.
- Run a credit check on the applicant.
